Settings
Manage your expense setup, monthly claim, and app preferences.
Expense setup
Choose where your expense lines and receipt files are saved in Google Drive.
Which setup should I use?
Use an existing workbook if it already contains your claims. Create a workbook for a first setup or a new year. The app connects the new workbook and its receipts folder for you.
Open Google connection below to reconnect before changing locations.
The expense template containing your monthly claim tabs.
Choose the folder above your YYYY-MM month folders. New month folders are created when you save receipts.
How should my folders be arranged?
Keep each month, such as 2026-10, directly inside the selected receipts parent folder. Select the .xlsx separately; it can be in the same folder or elsewhere in your Drive.
Open folder structure guideYour Google account provides access to your expense files and Gmail drafts.
About sign-in and permissions
MyExpense remembers this device for up to 30 days. Sign out on a shared device. Google may ask you to reconnect if access expires or is revoked.
Drive access lets the app read and update your workbook and receipts. Gmail access creates claim drafts for you to review and send. A temporary Google outage can be retried without signing out.
Monthly claim
Set the recipients and country split used when you prepare a monthly claim draft.
How does the approval email work?
Separate recipient addresses with commas. Preparing a claim creates a Gmail draft; you review and send it yourself.
Enable allocation to use the percentages below in the email. HQ fills the remainder to 100%. Turn allocation off to use the split from your workbook. These settings do not rewrite the workbook allocation.
Forward one invoice per email. You will receive a confirmation or a review request.
What happens after I forward an invoice?
Forward one invoice per email from your configured sender address. The app sends a confirmation when it can save the expense, or a review request when details need checking.
If forwarding is not enabled for your account, upload the receipt in Add expense. Sending to this address alone does not enable forwarding.
App preferences & help
System default follows the light or dark theme on your device.
Use the same account and expense files on your phone.
About the mobile app
The Android app includes camera and receipt scanning. Sign in with the same Google account to use your existing workbook and receipts. Allow camera access when you choose to scan a receipt.
On iPhone, use MyExpense in your browser while the iOS app is unavailable.
Check recent save and scan errors if an expense did not complete.
Where should I start?
Check Google connection, then confirm your workbook and receipts locations. If a save failed, check the expense list before trying again to avoid a duplicate.
